The working definition
What is photography CRM software?
Photography CRM software keeps the people, jobs, decisions, and follow-through around a studio in one place. The useful test is whether a photographer can open a project and understand the next client or studio action without reconstructing the job from several unrelated tools.
In Still Bureau, connected means those records can belong to the same client and project. It does not mean that every action is automatic, that an outside archive is migrated, or that a proposal, payment, and booking are treated as one event.
One project, explicit decisions
The studio record stays useful from inquiry through delivery.
The workflow connects the work without hiding the moments that need review, consent, payment, or a photographer's final call.
Keep the client record with the work
01Create the client and project, then keep the job stage, tasks, notes, and related studio records in that project.
Offer a bookable service
02Define services and availability, review booking requests, and connect accepted Google Calendar behavior when the studio enables it.
Collect the right information
03Use questionnaires, package-based proposals, and contracts as separate reviewed records rather than one ambiguous approval.
Keep invoicing with the project
04Create invoices and payment schedules where configured. Proposal acceptance, agreement completion, payment, and booking confirmation remain distinct states.
Connect the gallery deliberately
05Associate a gallery with its project when the studio is ready. Still Bureau does not promise automatic archive migration or infer every outside-system relationship.
Review the next action
06Use the project record to see what is ready and what still needs a studio decision, then send or publish only the reviewed client-facing item.
Connected, not indiscriminate
Keep every commitment visible.
A good studio system should reduce reconstruction without turning a draft or client click into a commitment the photographer did not make.
A published proposal is not an email
Publishing exposes the reviewed version in the assigned client workspace. Sending it is a separate studio action.
Acceptance is not payment
The accepted package can inform the project invoice, but card settlement and payment status remain separate.
Payment is not final booking confirmation
Availability, agreement, payment requirements, and the studio's confirmation are evaluated independently.
A gallery is associated deliberately
The studio links the gallery to the project when ready instead of relying on an inferred outside-system match.
Test the project, not the promise
Put one current job through the complete handoff.
New accounts can test the currently available Studio features for 14 days without a card. After the trial, studio CRM features begin on Pro; the website, galleries, proofing, and enabled photo downloads can continue on Free within published limits.

Photography CRM questions
Know exactly what is connected.
What does CRM mean for a photography studio?
For Still Bureau, CRM means the practical client and project record around a photography job: contacts, project stages, tasks, services, bookings, questionnaires, contracts, quotes, invoices, reminders, and the gallery association. It is not a promise of an automatic sales pipeline or outside-system migration.
Does Still Bureau replace a client gallery tool too?
Still Bureau includes the website-and-gallery workflow on Free within published limits. Galleries support client access, favorites, image comments and marked areas, selection locking, and the photo-download paths the photographer enables. Studio CRM features begin on Pro after the trial.
Does a client need a Still Bureau account?
No studio account is required for public, password, or personal-invite gallery access. Client workspaces can expose the assigned project records and actions through their own access path.
Does accepting a proposal confirm a booking or charge a card?
No. Proposal acceptance records the selected terms. Agreement completion, invoice payment, availability, and final booking confirmation are separate requirements the studio can review.
Which plan includes photography CRM and studio management?
Clients, projects, bookings, contracts, questionnaires, invoices, reminders, and accepted Google Calendar connections begin on Pro. New accounts can test the currently available Studio features for 14 days without a card. Afterward, the website and gallery workflow can continue on Free within published limits, while this studio workflow requires an eligible paid plan shown on the live pricing page.
